About the client

Penta-Drink is a beverage wholesaler in Békéscsaba with its own shops across Békés County – and it bottles its own soda water and large-format drinking water. With excise goods, precision is not a virtue there but a duty. Throughout a two-year transition the shops never stopped for a single day: a partner who knows what it wants and sees it through.

Starting point

The company used an old desktop stock program; returnables, the deposit return scheme and excise data were hard to manage, and the shops and warehouse ran as separate worlds. Because of excise goods, stock records must match reality strictly.

What we built

  • 01~30 master data sets, audit log, alerts, permissions, CRM with full history
  • 02Stock: best-before, lots, any number of warehouses, cost centres, stocktaking, asset register
  • 03Sales: browser POS, receipts and invoices, NAV Online, cash register link, price lists, promotions, free goods, returnables
  • 04Finance: invoices and credit notes (batched too), receivables, bank, cash, cash flow, ledgers, automatic posting
  • 05Payroll and leave, route planner, commissions, document and project management, internal messaging
  • 06Sales rep tablet app and customer portal, company dashboard
  • 07Mobile app for Android and iOS: barcode stocktaking and item lookup (stock per warehouse, shop price) – linked to the web system
  • 08Excise records with strict stock compliance; returns are filed to NAV over an M2M connection, ONYA forms are generated by the system
  • 09Supplier integrations: Dreher, Coca-Cola, Borsodi
  • 10Shop features: mixed payments, deposit vouchers, bottle returns, price change alerts, label printing

Challenges

  • The system had to work with the shops’ existing cash registers, without buying new ones
  • For two years we ran and supported the shops while the wholesale side was still being developed: every retail and wholesale change had to be carried through both systems without the shops ever stopping – and they never did
  • Crate, returnable and deposit calculations in both retail and wholesale

Changes along the way

Something always changes on a large project. This is how we handled it.

Rollout in two rounds

The shops have used the new system uniformly since 1 January 2025; the wholesale side switches on 1 January 2027. In between, the shops’ financial data and stock are loaded automatically into the old wholesale program, internal stock movements between wholesale and shops are automated, and prices are kept in sync. Wholesale works in the old program, the shops in the new one – and nobody has to enter anything twice.

We carried the transition load

Example: the wholesale side already does stocktaking with the new system – faster and with fewer errors – and we load the counted stock into the old program so it stays accurate there too. Every extra task of the transition period was taken off the client’s shoulders.

Support matched to real use

We handled post-launch tickets quickly, then set up a monthly support package based on actual hours used.
