Transport management from order to sERPa invoice, with a driver app
1 + 2 + 1
transport system, two driver apps, subcontractor portal
We built a web-based transport management system for a haulage, rail-loading, machinery and skip-hire company, connected to its sERPa ERP. Alongside it: an Android and iOS driver app in two editions, a subcontractor web portal and a spreadsheet-style tool for entering trips in bulk.
- Business
- Haulage (articulated, rigid), rail loading, machinery work, skip hire
- User groups
- Office and dispatch, own drivers and machine operators, subcontractors and their drivers
- Platforms
- Web system, Android and iOS app (two editions), subcontractor portal, bulk trip entry
- Integrations
- sERPa (partners, items, orders, delivery notes, invoices), EKAER, MNB exchange rates
- 2024–2026
- Live, supported

About the client
Futizo is a haulage company in Gyula whose work goes well beyond trucks: articulated and rigid haulage, rail wagon loading, machinery work and skip hire – with its own drivers and a network of subcontractors. With that many threads running at once, accurate paperwork is part of the job, and Futizo accepts no compromise on it.
Starting point
Trip planning, waybills, machine logs and invoicing ran on paper and spreadsheets. Drivers filled in paper waybills and the office re-typed them – a single week meant hundreds of manually kept rows.
What we built
- 01Quote → order → waybill chain for four job types: articulated and rigid haulage, rail loading under framework contracts, machinery work, and skip hire with drop-off and pick-up tracking
- 02Waybill: loading and unloading points (with GPS coordinates), quantity and tonnage, kilometres, delivery-note and weighbridge numbers, CMR, EKAER number, subcontractor fees, checked and billable flags, attached documents
- 03Invoicing into sERPa: outgoing, project and skip invoices built from billable waybills, with line merging; orders and delivery notes are sent to sERPa too
- 04Driver app for Android and iOS: daily waybills, document scanning with the camera, machine log, time tracking by project number, leave requests, equipment handover, chat
- 05External driver app for subcontractor drivers: choose a plate, fill in their own waybills, upload documents
- 06Subcontractor web portal: partners see the trips given to them, assign a driver and plate, record completion, upload CMRs and approve the trip
- 07Spreadsheet-style trip planner (Flexel): rows pasted from Excel or Google Sheets, automatic matching of partner, plate, driver and goods, one click creates quote, order and waybills; several people can work in it at once
- 08Fuel: card fill-ups, NAV fuel prices, per-vehicle norms and a per-driver savings report to Excel
- 09Leave calendar, trip calendar, working-time list, vehicle master with trailers, internal chat
Challenges
- Four job types billed differently (per tonne, per day, per hour, per round trip) in one shared waybill and invoicing logic
- Two-way work with sERPa: partners and items come from it, orders, delivery notes and invoices go back to it
- Three separate login groups (office, own drivers, subcontractors), with subcontractors seeing only their own trips
Changes along the way
Something always changes on a large project. This is how we handled it.
Subcontractors got their own tools
The driver app started in December 2025 for the company’s own staff. In July 2026 a separate login group, a simplified external driver app and a subcontractor web portal were added on the same backend.
From spreadsheet into the system
The team planned trips in spreadsheets. We didn’t forbid it: in spring 2026 we built a spreadsheet-style web tool where rows can be pasted, and one click turns them into a quote, an order and waybills in the transport system.
